About this policy
This policy covers DRH Technologies (ABN 50 931 914 214), this website, and our two ServiceM8 add-ons: the Timesheet Addon and the Attachment Browser Addon. It explains what personal information we handle, why, and the choices you have. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Who this applies to
The business that installs an add-on (our customer) and the staff who use it, and anyone who contacts us through this website.
The add-ons also handle some information about our customer's own staff and clients, such as a staff member's name, or a client's name and a job's site address, because that information is held in ServiceM8. For that information our customer remains responsible for its collection, and we handle it only to provide the add-on.
This website
If you use the contact form, we collect your name, email address, phone number (optional), the service you're interested in, and your message. We use it to reply to you. Form submissions are processed by Netlify, who host this website.
We do not use cookies or advertising trackers on this website, and the fonts it uses are served from our own site.
To see how many people visit and which pages are useful, we use Netlify Analytics. It measures visits from our hosting provider's server logs, so it does not use cookies or tracking scripts in your browser. It counts unique visitors by IP address and reports totals such as page views, locations and referring sites.
Timesheet Addon
Each add-on keeps its own copy of the information it needs. For the Timesheet Addon, that is:
- ServiceM8 account details: your ServiceM8 account identifier, company name and location, and the access tokens that let the add-on work with your ServiceM8 account.
- Staff information: staff names imported from ServiceM8, and the role you assign each person in the add-on (employee, manager or administrator).
- Timesheet entries: start and end times, break minutes, the ServiceM8 job each entry is linked to, notes and allowances, and the approval status of each entry.
- Technical information: our hosting provider records standard request logs, and we keep service logs so we can fix problems.
When a manager approves a timesheet, the timesheet data is synced into ServiceM8 and a note is added to the job card for that entry.
Attachment Browser Addon
Attachment Browser helps you find, organise and file the photos and documents attached to your ServiceM8 jobs. It stores where each attachment is, never the attachment itself. It handles:
- ServiceM8 account details: your ServiceM8 account identifier and access tokens that let the add-on read and organise your job attachments.
- Job details: job number, site address, status, job category, the first line of the job description (up to 120 characters, so you can tell jobs apart when moving files), and the client's name and ServiceM8 identifier.
- Attachment details: file name, file type, tags, the dates a file was taken and edited, its pixel size, and the ServiceM8 identifier of the staff member who added it. We do not store the location (GPS) data that ServiceM8 holds for photos.
- Thumbnails: small preview copies (about 320 pixels) of photos, so folders load quickly. Full-size photos and documents stay in ServiceM8.
- Your organisation: the folders you create, where files are filed, tag rules and add-on settings.
- Technical information: our hosting provider records standard request logs (such as time, address and response code). Our own logs record errors and counts, not the content of your files.
We do not collect client contact details (phone numbers, email or billing addresses), full job descriptions, notes, prices, or payment information. We do not use cookies or advertising or analytics trackers in this add-on.
How we use information
- To provide the add-ons: to record, review and approve timesheets, and to show, organise, search, upload, download and file job attachments.
- To keep each add-on in step with changes made in ServiceM8.
- To secure the service, prevent misuse, and fix problems.
- To reply to enquiries and support requests.
We do not sell personal information, use it for marketing, or use it to train machine-learning models.
Who we share it with
- ServiceM8, where your data comes from and where changes you make (such as approvals, uploads, renames, tags and deletions) are saved.
- Netlify, Inc., our hosting provider, which runs this website (including its contact form and visit statistics) and Attachment Browser, and stores Attachment Browser's database and thumbnails.
- Anyone we are required to disclose to by law.
We do not use any email services to send customer data.
Where data is stored
The Timesheet Addon and Attachment Browser are both hosted in Sydney, Australia. The servers that run them and their databases are located there, as are Attachment Browser's stored thumbnails. Your files themselves stay in ServiceM8.
Our hosting provider, Netlify, Inc., is based in the United States, so limited operational information (such as service logs) and the provider's support staff may be outside Australia.
How long we keep it
An add-on keeps your data while your account is active. If you cancel, we keep your data for a limited period after cancellation and then delete it. If you would like it deleted sooner, ask us (see below).
Support access
The Timesheet Addon has an impersonation mode that lets authorised DRH staff open the add-on as your business sees it. We use it only to look into a support request from you.
Attachment Browser has no equivalent. We can't view your account's data through the add-on.
Security
We take reasonable steps to protect personal information from unauthorised access, disclosure, or misuse. This website is served over HTTPS, and contact form data is transmitted securely via Netlify's infrastructure.
If we become aware of a data breach that is likely to result in serious harm, we will notify affected customers and the Office of the Australian Information Commissioner, as the Privacy Act requires.
Access, correction and deletion
You can see and change most of this information directly in ServiceM8 and in the add-ons. You can also ask us for a copy of the personal information we hold about you, to correct it, or to delete your account's data, by emailing info@drhtechnologies.com.au.
Deleting your data removes the add-on's copy from our systems: for Attachment Browser, that is your folders, settings, index and thumbnails; for the Timesheet Addon, your staff and timesheet records. It does not delete anything held in ServiceM8, including approved timesheet data already synced there.
Complaints
If you have a privacy concern, contact us at info@drhtechnologies.com.au. We aim to respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
We may update this policy. The date at the top shows when it last changed.
